Service technician next to an industrial pump in a plant room, documenting the job on a smartphone

The report reaches the office before the technician drives off

For Stuttgart pump specialist Stenger, we built a field service app and backend that replace the paper report and connect to the ERP – and we look after the IT behind it.

Results

Since autumn 2025, Stenger's service technicians have documented their jobs in the app. Reports, photos and spare parts go straight to the office and from there into the ERP.

Starting point

Since 1983, Stenger has sold, serviced and repaired pumps and systems for water supply, wastewater and rainwater harvesting in the Stuttgart region – including a 24-hour emergency service. As an authorised KSB service partner, its technicians are out at customers' sites every day. We have looked after the office IT and network for many years, and we introduced Microsoft 365 at Stenger and have managed it ever since.

Every job was documented on paper: working hours, spare parts fitted, findings and the customer's signature. Back at the office, the reports were typed into the GDI ERP by hand. Job-site photos sat on phones or arrived via messenger and email – and had to be matched to the right order one by one.

Approach

We built an app for iPhone and Android and a backend with an office view, and connected both to GDI – without replacing the system the company relies on. We introduced the app step by step: first, technicians scanned their familiar paper forms in the app, then the digital report took over.

  • The full report in the app: findings, pump data, working hours, spare parts from the GDI article catalogue, photos with notes, scanned documents and the customer's signature.
  • Orders without retyping: every night, the system picks up new orders from GDI and assigns them to the technician in charge. Short-notice orders are added by QR code or order number, and emergency jobs can be created even without one.
  • Straight to the office, even offline: the app uploads report, photos and signature as soon as it has signal. In a plant room without reception, technicians simply keep working – syncing happens in the background.
  • Backend with an office view: a dedicated Rails backend collects every job. In its web interface, the office manages orders and can review, correct and complete reports.
  • Clean GDI integration: every morning at 5 a.m., the backend hands the completed orders to GDI – with the report as a PDF, photos, spare parts and notes. A lean connector runs at Stenger right next to the GDI database for this.
  • IT from a single source: we run the backend, look after the on-site connector server and take care of the office IT and network. We also introduced Microsoft 365 with email, calendars and file storage and manage it on an ongoing basis – from new accounts to licences and permissions.

Result

Stenger's technicians have worked with the app since the fourth quarter of 2025. The path from job site to ERP is digital: the report is in the office right after the job, and the next morning report, photos and spare parts are in GDI – without anyone typing up notes or sorting photos.

Technicians send feedback from their day-to-day work straight from the app, and we keep developing it. Since launch, we have added the GDI article catalogue, emergency jobs without an order number and the automatic nightly order import, among other things.

Our service reports used to pile up on paper in the office and get typed up in the evening. Now they're in the office almost as soon as the job is done – with photos and signature. And because 4eB connected our ERP instead of replacing it, we didn't have to change anything internally.
